TrailPix — Privacy Policy

Effective date: 24.11.2025

Short summary:

We collect the minimum data needed to operate TrailPix, create AI‑assisted trip plans, and improve the experience. You control your content. You can request access or deletion at any time at contact@trailpix.ai.

1. Who We Are

This Privacy Policy explains how TrailPix (the "Controller", "we", "us") handles your personal data when you use the TrailPix websites, apps, and related services (the "Service"). Our contact address is: contact@trailpix.ai.

2. Scope

This Policy applies to the Service and to communications we send you. It does not cover third‑party services we link to (e.g., maps, app stores). Those have their own policies.

3. Data We Collect

  • Account data: name, email, authentication IDs (Apple/Google sign‑in), subscription status.
  • Trip inputs & content: prompts, destinations, preferences, notes, photos or media you upload.
  • Device & usage: app version, device model, OS, language/region, crash logs, interaction events, diagnostics.
  • Location (optional): if you allow it for route previews or AR features. You can disable at any time in device settings.
  • Cookies/web beacons: on our website for basic analytics, session management, and remembering preferences.

We do not ask you to provide special‑category data (e.g., health, religion). Please avoid sharing such data in your prompts or uploads.

4. How We Use Data

  • Provide and maintain the Service, including AI itinerary generation and map visualization.
  • Operate safety and integrity features (abuse prevention, rate limits, troubleshooting).
  • Improve the Service (quality, relevance, performance) using aggregated or de‑identified analytics.
  • Communicate with you (service messages, support, policy updates).
  • Comply with legal obligations and enforce our Terms.

5. Legal Bases (GDPR/UK GDPR)

  • Contract: to provide the Service you request.
  • Legitimate interests: to secure, improve, and personalize the Service in ways that do not override your rights.
  • Consent: for optional features like precise location or certain analytics/marketing cookies.
  • Legal obligation: to meet regulatory or law‑enforcement requirements.

6. Sharing & Processors

We do not sell your personal data. We share data with trusted processors who help us run the Service, under contracts that limit their use of the data to our instructions. Typical categories include: cloud hosting, database and storage, content delivery, maps/POI and geocoding, crash reporting, analytics, and AI model providers.

We may also share data: (a) to comply with law or valid legal process; (b) to protect you, us, or others; or (c) as part of a corporate transaction (e.g., merger or acquisition). If ownership changes, we will continue to protect your data and notify you of any material changes.

7. International Transfers

If we transfer your data outside your country, we use appropriate safeguards, such as EU Standard Contractual Clauses (and, where required, the UK Addendum/IDTA). Copies or information about these safeguards can be requested at contact@trailpix.ai.

8. Retention

We keep personal data only as long as necessary for the purposes above, including maintaining your account, complying with legal obligations, and resolving disputes. You can delete trips or your account in the app; we’ll delete or anonymize associated data within a reasonable time, except where retention is legally required.

9. Security

We use commercially reasonable security measures appropriate to the nature of the data and our Service. No method is 100% secure. You are responsible for keeping your account credentials confidential.

10. Your Rights

If you are in the EEA/UK/Switzerland, you have rights under data‑protection law, including to request access, correction, deletion, restriction, portability, and to object to certain processing. You also have the right to withdraw consent where processing is based on consent.

You may lodge a complaint with your local supervisory authority. Our primary EU authority is typically where you live or work. You can also contact us at contact@trailpix.ai.

11. Cookies & Tracking

We use strictly necessary cookies and, with your consent where required, functional and analytics cookies. You can manage preferences via our cookie banner and your browser settings.

12. Children

The Service is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided personal data, contact us and we will take appropriate action.

13. Automated Decisions & AI

TrailPix uses AI models to generate itineraries and context. Outputs may be inaccurate or biased. We do not make decisions with legal or similarly significant effects based solely on automated processing without human involvement.

We do not use your personal data to train our models, except where you explicitly consent (e.g., product research programs). We may use aggregated or de‑identified analytics to improve quality and safety.

14. Do Not Track

Some browsers transmit "Do Not Track" signals. We do not respond to DNT signals. We honor applicable opt‑out mechanisms provided by law and our cookie banner.

15. Third‑Party Links

We may link to third‑party sites (e.g., booking platforms, museums). We are not responsible for their content or privacy practices. Review their policies.

16. Changes

We may update this Policy from time to time. Material changes will be notified in the app or by email and become effective on the date shown at the top. Your continued use after changes take effect constitutes acceptance.
